Your Ownrecord plan
How Ownrecord bills your organization with its own billing engine, the plans and their limits, the volume fee on live payments, plan changes, the billing portal, and what happens when a payment fails.
Ownrecord bills your organization with the same subscription engine, customer portal and tax engine you use for your own customers. Your organization is a customer of Ownrecord's own brand, and Ownrecord's legal entity issues your invoices, with tax: reverse charge for an EU business with a valid VAT ID, domestic VAT at home.
Plans
Every organization starts on Sandbox: free, test mode only, so you can build and test your integration. A paid plan adds live mode and higher limits.
| Plan | Monthly fee | Volume fee | Main limits |
|---|---|---|---|
| Sandbox | €0 | none | Test mode only |
| Starter | €0 | 1.0% | 1 entity, 1 brand, 3 members, 3 registered jurisdictions |
| Growth | €149 | 0.5% | 2 entities, 3 brands, 10 members, 10 registered jurisdictions, 2 custom domains |
| Scale | €499 | 0.3% | 5 entities, 10 brands, 50 members, 30 registered jurisdictions, secondary processor, SSO |
| Enterprise | from €1,500 | up to 0.2% | Arranged with sales |
Growth and Scale also come with a yearly fee (10 months' worth). Card processing is paid separately, to your own processor.
What a plan includes is a set of features (livemode, entities.max, subscriptions.enabled and so on), the same entitlements your own products grant your customers (see Entitlements). platform_billing.get returns them with your usage against each limit.
The volume fee
The volume fee is a share of your live volume: the gross amount of successful payments, tax included, converted to EUR at the ECB rate of each payment's date, minus refunds and lost disputes (at the original payment's rate, so a full refund cancels its payment exactly). It is billed monthly in arrears, also on yearly plans. Test mode is never billed.
Ownrecord records your volume as usage on your billing account the moment each payment, refund or lost dispute happens. Organization → Billing shows the volume of the current period and its fee so far, and the cheapest plan for your average volume over the last three months: Starter is cheaper below about €30,000 a month, Growth up to about €175,000, Scale above.
Changing your plan
Organization owners and billing admins change the plan in Organization → Billing, or with platform_billing.change_plan:
- Upgrade with a card on file: it applies now, and the difference for the rest of the period is invoiced and charged at once. Until that payment succeeds you keep your current plan.
- Upgrade without a card, for example from Sandbox: you continue in Ownrecord's checkout, save a card and pay the first invoice. The new plan starts as soon as it's paid.
- Downgrade: it starts at the end of the current period, with no credit.
A paid plan needs your organization's VAT ID first, so Ownrecord can invoice you as a business. If your billing details have none, Ownrecord uses your first legal entity's VAT ID, legal name and address.
Limits and overage
When you reach a limit, creating more of that thing is refused with entitlement_required (the error says which limit), and an alert in your inbox links to the billing page. After a downgrade you may be over a limit: nothing is deleted and everything you have keeps working; you just can't add more until you upgrade or remove some. The billing page shows the overage.
Registrations are the exception: when the law requires you to register somewhere, Ownrecord never stops you. The registered-jurisdictions limit is shown on the billing page as a reason to upgrade, not enforced.
The billing portal
Manage billing opens Ownrecord's billing portal, the same customer portal you give your own customers: payment methods, your billing details (legal name, address, VAT ID), Ownrecord's invoices as PDF, and the upcoming invoice. The console signs you in with a short-lived link, so there's no second login (platform_billing.portal_sessions.create).
When a payment fails
Ownrecord never cuts your customers off abruptly because of your Ownrecord bill. When a payment fails, it is retried, and your organization goes through these stages:
| When | Status | What changes |
|---|---|---|
| The payment failed | active | A banner in the console and emails to owners and billing admins |
| 14 days after the failure | restricted | No new live brands, products, prices or API keys. Existing checkouts, renewals, usage billing and webhooks keep running |
| 30 days after the failure | suspended | New live checkout sessions and subscriptions are refused, with a "seller unavailable" message for buyers. Renewals of existing subscriptions, refunds, the customer portal and filings continue |
| The open invoices are paid | active | At once |
Your API keys keep working throughout, so renewals, refunds and filings go on. Test mode is never affected. Ownrecord's support can hold or extend a stage, for example while a bank transfer is on its way.
Paying lifts only what a failed payment caused. An organization suspended for breaking the acceptable use policy stays suspended until Ownrecord reinstates it, and a closing or closed organization keeps its status.
Events
| Event | When |

organization.created | The organization was created (its billing account follows at once). |
organization.plan_updated | The plan, its status, its period or its entitlements changed. |
organization.restricted | The organization was restricted for an unpaid subscription. |
organization.suspended | The organization was suspended for an unpaid subscription. |
organization.reactivated | It is active again: the invoices were paid, or support held it. |
These events are internal: they appear in your event feed and audit log, not in webhooks.
